Week 12

Formulas and cell references

A spreadsheet formula starts with = and tells the sheet how to calculate a result from other cells. When you copy a formula, a relative reference like B2 shifts with the new position, but an absolute reference like $F$1 stays fixed. Using one rate cell for GST or discount means you change a single place when the rate changes, instead of editing every row.

  1. 1Amounts in column B
  2. 2GST rate in one cell
  3. 3Formula uses $F$1
  4. 4Copy formula down
  5. 5Totals update together

Step by step

  1. Type the item amounts in column B and the GST rate (for example 18%) in cell F1.
  2. In C2 write =B2*$F$1 to calculate the tax.
  3. In D2 write =B2+C2 to get the total.
  4. Drag the formulas down so each row uses its own amount but the same rate.
  5. Change F1 and watch every row update.

In real life

A billing clerk at a Madurai stationery shop keeps the GST rate in one cell so that when the rate for an item changes, the whole invoice sheet is corrected in seconds.

Worked example

Problem. Amounts are in B2:B4 (1000, 2000, 500) and the rate 18% is in F1. Write the tax formula for C2 so it can be copied down, and give the tax for row 2.

Solution. C2 = B2*$F$1. Copying down gives B3*$F$1 and B4*$F$1. Row 2 tax = 2000 x 0.18 = ₹360.

Common mistakes

  • Forgetting the $ signs so the rate reference moves down and returns 0.
  • Typing numbers into formulas instead of referencing cells, which hides assumptions.
  • Formatting cells as text so formulas show as text instead of calculating.

Try it yourself

  • Build a three-column invoice sheet with discount in one cell and total after discount.
  • Change the rate and verify that all totals change correctly.
  • Explain why =B2*F1 fails when copied to row 3.

Week 36

A GST tax invoice, step by step

A tax invoice records who sold what to whom, the taxable value, the tax and the total. For a sale within the same state, GST is split equally into CGST and SGST. For a sale to another state, it is charged as IGST. Getting the type right matters because the government receives each tax separately, and the invoice must show the amounts clearly so the buyer can also account for them correctly.

Same state sale

  • CGST (half of the tax)
  • SGST (half of the tax)

Other state sale

  • IGST (full tax)
  • Shown as one tax line

Step by step

  1. Note the seller and buyer state to decide between CGST+SGST or IGST.
  2. List the items with quantity, rate and taxable value.
  3. Apply the GST rate given for each item.
  4. Split the tax into CGST and SGST for same-state sales, or show IGST.
  5. Add the taxable value and tax to get the invoice total and round off if required.

In real life

A Madurai shop selling notebooks to a Madurai school charges CGST and SGST, while a sale to a school in Kerala would be charged IGST on the same goods.

Worked example

Problem. A Madurai shop sells goods worth ₹10,000 to a buyer in Madurai at 18% GST. Find CGST, SGST and the total.

Solution. Total GST = 10,000 x 18% = ₹1,800. CGST = ₹900 and SGST = ₹900. Invoice total = 10,000 + 1,800 = ₹11,800.

Common mistakes

  • Charging IGST on a same-state sale or CGST+SGST on an inter-state sale.
  • Calculating GST on the total that already includes GST.
  • Leaving out the buyer's GSTIN or invoice number on a tax invoice.

Try it yourself

  • Prepare an invoice for ₹25,000 of goods at 18% sold to a buyer in Bengaluru and name the tax type.
  • Enter the Madurai invoice in TallyPrime and compare the totals with your hand calculation.
  • List five fields that every tax invoice should show.

Try the questions

The same skills are asked at three levels: School (Classes 6–12), College and Professional. Switch the level and the language (English or Tamil), and say how sure you are before you check: knowing what you are unsure about is part of learning.

Classes 6–12: everyday examples, no prior knowledge. Practice only. Nothing here is graded or saved.

Question 1 / 4 · Match office tool to purpose

Match each task with the best office program.

Projects

Smart Office Pack for a Small Business

A small training centre in Madurai keeps student enquiries, fees and expenses on paper and in scattered files. Build an organised digital office pack that lets staff record enquiries, track fees, produce letters and summarise the month.

Tasks

  1. Design a folder structure and naming rule for the office and back it up.
  2. Create an enquiry and fee tracker in a spreadsheet with drop-downs, validation and protected formula cells.
  3. Use a mail merge to produce fee-reminder letters for overdue students.
  4. Build a pivot summary and a one-page dashboard for the month.
  5. Write a two-page user guide with screenshots.

Sample input

20 student records with name, course, fee, amount paid and due date; 10 expense lines; one letter template.

Expected output

A working tracker, 8 merged reminder letters for those with balance due, a dashboard showing total fee collected, pending fee and expenses, and a user guide.
